Zapier Guides

Step-by-step Zaps for the tools businesses most often connect through Zapier. Each one ends with the same action, PraisePipeline → Send Review Request. The general setup (adding the PraisePipeline app and copying your connection URL) is in Integrate Your Tools → Zapier.

The one thing every Zap needs is the customer’s email. You map it to Customer Email in the PraisePipeline step. Pick a trigger whose events include the customer’s email, and check the sample Zapier shows you when you map the field.

How you’ll know if something’s wrong. When an event has no customer email, or the mapped value isn’t a valid email address, the PraisePipeline step halts with an explanation. You’ll see that in the step’s test while you set up the Zap, and later in the Zap’s history. A halted step doesn’t use one of your Zapier tasks or pause the Zap. PraisePipeline also shows a warning on the Zapier integration (Integrations) and sends you a notification, at most once a week.

Square

  • Trigger: New Payment for every payment, or New Invoice if you bill through Square Invoices.
  • Customer Email: the customer’s or buyer’s email from the payment or invoice.
  • Good to know: an in-person payment only carries an email when the customer gives one, for example by asking for an email receipt. For counter sales, a review QR code at the register reaches the customers a Zap can’t.

QuickBooks Online

  • Trigger: New Paid Invoice asks once the invoice is paid, which is usually the right moment for a service. Use New Sales Receipt for sales recorded as receipts.
  • Customer Email: the customer’s email on the invoice or sales receipt.
  • Good to know: if an invoice’s customer has no email address in QuickBooks, the step halts. Add the email to that customer in QuickBooks, and future invoices include it.

Jobber

  • Trigger: Job Closed asks when a job is completed.
  • Customer Email: the client’s email.
  • Good to know: Jobber’s Zapier integration requires a Jobber plan that includes it (Connect or higher); check your plan in Jobber.

Housecall Pro

  • Trigger: New Completed Job asks when a job is finished.
  • Customer Email: the customer’s email on the job.
  • Good to know: Housecall Pro’s Zapier integration is available on its Essentials, Essentials+ and Max plans.

Anything else

Any app with a Zapier trigger works the same way. Pick the event that means “a customer just finished buying from us”, then map that customer’s email and name. A few apps are premium on Zapier and need a paid Zapier plan; Zapier labels them when you pick the trigger.

Each customer is asked at most once every 60 days, after the delay you set on your Branding page, however many times your Zap runs for them. See How review requests work.
